The client asks you for a quote on Tuesday. You make a note of it, keep working, and before you know it, it’s Sunday night and you’re still sitting in front of a Word template, balancing line items and calculating the VAT by hand.
It happens to almost every freelancer. And it's a shame, because the quote is the first thing a client sees of your work: if it arrives late or looks unprofessional, you're already at a disadvantage.
The good news is that today, AI can handle the heavy lifting: breaking down the work into tasks, estimating timelines, and drafting the terms. In this article, we’ll explain what a good quote should include, how AI can help—and where it can’t—and how to create one step by step in just a few minutes.
What a Good Budget Should Include
A clear budget prevents misunderstandings and builds trust. Here are the elements that should be included:
| Element | Why It Matters |
|---|---|
| Your information and your logo | Name, tax ID number, address, and contact information. These convey a sense of reliability. |
| Customer Information | Who it is intended for and what it is used for. |
| Number and Date | So you can find it later and know when its validity period begins. |
| Itemized line items | Item, quantity, unit, and price. The customer understands what they're paying for. |
| Taxes and Total | Tax base, VAT, and, if applicable, withholding tax. Or indicate that they are not included. |
| Completion Deadline | How long will it take, and if there are several phases, what are they?. |
| Terms and Conditions | Validity, payment method, and what is not included. |
| Space for signature | So that the customer can accept it in writing. |
A quote is not an invoice: it has no tax validity. It is a proposal that the client accepts before work begins.
How AI Can Help You (and How It Can't)
AI is very good at breaking down a task into steps, anticipating what you might overlook, estimating deadlines, and writing clear text. It can suggest solutions in seconds for tasks that would take you an hour.
But there are two things you shouldn't trust her with:
- Prices. AI doesn't know your costs or the prices in your area. If it comes up with a price and you don't check it, you could lose money or the customer. Ideally, you should use your own rate and clearly indicate what is for guidance only.
- The calculations. Language models can make mistakes when adding numbers or calculating percentages. Amounts, sales tax, and the total should be calculated by a program, not by AI.
The rule is simple: the AI makes suggestions, and you decide. Never send a quote without reviewing it first.
Step by Step with TOKIFY
At TOKIFY, we've developed a quote tool that follows exactly that rule. Here's how it works:
- Fill out your template just once. Logo, name, tax ID number, address, payment method, and your standard terms. These will appear on all your quotes.
- Add your rate. Your standard rates: hourly rate, price per square meter, travel expenses… You don't need to fill it out completely: every time you save a quote, the rates are added automatically.
- Enter the customer's information and describe the job In your own words, as if you were explaining it to a classmate. The more specific you are (measurements, materials, quantities), the better.
- The AI suggests the games, including quantities, units, the timeline by phase, and the terms. The items in your rate are listed with their price and a green label. The others are listed with an estimated price and an orange label so you can review them.
- Check and adjust. Change whatever you want: the total, the sales tax, and the withholding tax are recalculated instantly. The system calculates them—never the AI.
- Save and download the PDF with your logo and colors. It will be numbered (PRE-2026-001, 002…) in «My Quotes,» where you can mark it as sent or accepted, or duplicate it for the next client.
An important point: Your customer's data is never sent to the AI. They are used only to format the document. The AI receives only the job description.
An example: bathroom renovation
Imagine you're writing this description:
6 m² bathroom renovation. Remove the bathtub and install a 120×80 shower pan with a shower enclosure. Tile the walls up to the ceiling. The client will provide the tiles.
In a few seconds, you'll receive a quote like this (example prices, excluding VAT):
| Game | Quantity | Price | Amount |
|---|---|---|---|
| Demolition and removal of the bathtub and tilework | 1 unit. | 450 € | 450 € |
| 120×80 shower pan, installed | 1 unit. | 520 € | 520 € |
| Glass partition | 1 unit. | 380 € | 380 € |
| Wall tiling (labor) | 18 m² | 32 € | 576 € |
| Plumbing | 8 a.m. | 35 € | 280 € |
| Debris Removal and Final Cleaning | 1 unit. | 150 € | 150 € |
Taxable base: €2,356 · VAT (21 %): €494.76 · Total: €2,850.76
In addition, I would suggest a timeframe (for example, about 7 business days: demolition, plumbing, shower pan installation, and tiling, and finishing touches) and conditions such as «tiles provided by the client» or «50 % upon acceptance and 50 % upon completion.».
If the AI has to make an assumption—for example, the ceiling height to calculate the number of meters of tile needed—it will tell you that at the top so you can check it before submitting it.
If your customer is from another country
More and more freelancers are working for clients abroad. In that case, three things change:
- Language. A British or French client expects to receive the quote in their own language. On TOKIFY, you choose the document’s language (Spanish, English, Portuguese, French, German, Italian, or Dutch): the AI drafts the line items and terms in that language, and the PDF is generated with all labels translated. Your rate remains the same even if it’s in Spanish.
- The currency and the format. Pounds, dollars, reais… and how to write the numbers (£1,500.00 is not the same as 1,500.00 €).
- Taxes. The rules vary depending on the country and the type of customer. That's why TOKIFY lets you set «taxes not included»: The estimate shows the amount before taxes, and you add the taxes later on the invoice, with guidance from your accountant.
Mistakes to Avoid
- Send prices without reviewing them. A suggested price is a starting point, not your price.
- Do not specify a validity period. With no deadline, the customer may accept the offer months later, by which time your costs will have already gone up.
- Don't say what it doesn't include. «Materials provided by the client» or «licenses not included» helps avoid disputes.
- Forget the payment method. If you want a down payment, specify that in the quote.
- Paste customer data into any AI chat. Your client's ID number, address, or phone number doesn't have to go through a third-party company. We'll explain it to you in Is it safe to enter your customers' data into ChatGPT?
In summary
You can create a good quote in minutes if you let AI handle the heavy lifting (breaking it down, estimating timelines, drafting) and focus on what's important: pricing and the final review.
